Terms & Conditions
The terms under which Handprints Nurseries provides childcare services.
These terms and conditions govern the relationship between Handprints Nurseries ("we", "us", "our") and the parent or guardian ("you") who enrolls a child in our care. By registering your child with us and signing our enrolment form, you agree to these terms.
1. Our service
Handprints Nurseries is an Ofsted-registered day nursery located at 3 Wood Street, Earl Shilton, LE9 7NE. We provide childcare for children aged 6 weeks to 5 years, delivering the Early Years Foundation Stage (EYFS) curriculum.
We are open Monday to Friday, 7:30am – 5:30pm, 51 weeks per year. We are closed on Bank Holidays and for one week over Christmas (dates communicated in advance each year).
2. Fees and payment
2.1 Fees are set out in our current fee schedule, which is available on our Fees & Funding page or on request. Fees are subject to review and we will give you a minimum of 4 weeks' written notice of any changes.
2.2 Fees are invoiced monthly in advance and are due by the date specified on the invoice. We accept payment by bank transfer, childcare vouchers, and Tax-Free Childcare.
2.3 Fees are payable whether or not your child attends on any given day, including periods of holiday or illness. This covers our fixed staffing costs. Bank holidays and our Christmas closure week are not charged.
2.4 Late payment may result in the suspension of your child's place. If an invoice remains unpaid after 14 days, we reserve the right to charge a late payment fee.
3. Notice periods
3.1 To reduce or change sessions, or to give notice that your child is leaving, we require a minimum of 4 weeks' written notice. Notice must be given by email to enquiries@handprintsnurseries.com and is deemed received when acknowledged by us in writing.
3.2 Fees are payable during the notice period regardless of whether your child attends.
3.3 We reserve the right to give 4 weeks' notice to terminate a childcare agreement, for example in cases of persistent non-payment or in the interests of the safety and wellbeing of staff or other children.
4. Funded hours
4.1 We accept all government-funded childcare entitlements. To claim funded hours, you must provide a valid eligibility code before the start of the relevant term. Codes not provided in time cannot be backdated.
4.2 Government funding covers the cost of the funded hours only. Additional fees may apply for hours beyond your funded entitlement, consumables, and meals (unless included in our standard offer; please see our fee schedule).
4.3 It is your responsibility to ensure your eligibility code is renewed on time. If funding lapses, full fees will become payable immediately.
5. Health, illness, and medication
5.1 Children must not attend if they have a contagious illness, diarrhoea, or vomiting. The standard exclusion period following sickness or diarrhoea is 48 hours after the last episode.
5.2 If your child becomes unwell during the day, we will contact you and ask you to collect them as soon as possible. In an emergency, we will call the emergency services and contact you immediately.
6.3 Prescription medication may only be administered by our staff with a completed and signed medication consent form. We do not administer over-the-counter medicines except in exceptional circumstances with prior written agreement.
6. Safeguarding and the EYFS
6.1 The safety and welfare of every child in our care is our highest priority. We operate in full compliance with the Safeguarding and Child Protection procedures required by the EYFS Statutory Framework and local authority guidance. Our Designated Safeguarding Lead is available at the nursery at all times.
6.2 We are legally required to report any concerns about a child's welfare to the relevant authorities, which may be done without parental consent where necessary.
7.3 We follow the EYFS framework in all aspects of learning, development, and care. Progress is tracked and shared with you through the Famly app and regular reviews with your child's Key Person.
7. Photography and media
We take photographs and videos of children for developmental observation and for use in communications with parents via the Famly app. We will ask for your consent to use images of your child in marketing materials (website, social media). You can withdraw this consent at any time.
8. Complaints
We take all concerns seriously. If you have a complaint, please speak to the nursery manager in the first instance. If you are not satisfied with the response, you may refer the matter to Ofsted. Our full complaints procedure is available on request.
9. Changes to these terms
We may update these terms from time to time. We will give you at least 4 weeks' written notice of any material changes. Continued use of our services after that date constitutes acceptance of the new terms.
10. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
